Hub Privacy Notice
The GC3 Hub is an application used by GodChasers Community Church staff and volunteers, and by parents in the gKids Family Hub. This notice explains what information it holds and why.
What we collect
Card and bank transactions from the church’s own accounts (amount, date, merchant, the last four digits of the card, and the cardholder name as the bank reports it), obtained through Plaid; purchase records from QuickBooks Online; receipts and reimbursement requests that staff submit; and the name and email address of each person who uses the Hub.
For parents who join the gKids Family Hub: the first name and birthdate of each child the parent chooses to include, as the parent enters it or confirms it from the church’s Planning Center records; the language the parent prefers; and, only if the parent ticks the texts box, their mobile number together with the exact consent wording they saw, the time, and the network address it came from.
Why
To reconcile and categorize the church’s spending, attach receipts to its books, and let each cardholder see and confirm their own charges. For the gKids Family Hub: to show a parent their own family, to send the weekly gKids update, and to let a child’s classroom leader reach the parent. Nothing else.
Who sees it
Each cardholder sees only their own activity. A small, named group of finance administrators sees all cards, and every action they take is recorded in an audit trail.
Who we share it with
Only the services needed to do the work: Plaid (the bank connection; Plaid’s own privacy policy applies to that connection), Intuit QuickBooks (the books of record), Supabase and Vercel (hosting), Resend (email), Twilio (delivering text messages to parents who opted in), Planning Center (the church’s membership records, where family and household information already lives), and Anthropic (reading receipt images to extract the merchant, total and date; no bank data is sent). We do not share data with advertisers.
All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.
Text messages
We text only parents who ticked the texts box on the gKids Family Hub form, and only about gKids: the weekly update and messages from their child’s classroom leader. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. Leaving the gKids Family Hub also stops texts. Your mobile number and your consent stay with the church and are never passed to any third party. The full Text Message Terms are published alongside this notice.
How it is protected
Encrypted in transit and at rest. Sign-in is through the church’s Google Workspace, and the finance console requires a second factor. Bank passwords are never seen or stored by the church: the bank connection is made by signing in with the bank directly through Plaid.
How long we keep it
Financial records for seven years, as the law requires of the church, then deleted. Bank connections are removed at Plaid when they are no longer needed. A family that leaves the gKids Family Hub comes off every list at once; the record of when they consented to texts and when they withdrew is kept, because carriers may ask for it.
The GodChasers app
The GodChasers app for iPhone is a door to the same Hub. When you sign in (with Apple, Google, or an emailed link) it holds your name and email address; the stories and prayer requests you post on the Wall; the messages you save; which days you opened the Bible, so it can show you your streak; and, if you are in the gKids family circle, your children’s first names as you entered them. Video plays from YouTube, and the map opens in Apple Maps; each of those has its own privacy policy. Giving opens Planning Center’s Church Center in your browser; the app never sees a card. Nothing in the app is used to track you across other companies’ apps or websites, and nothing is sold.
To delete your account, open My profile in the app and tap Delete my account. Your posts, saves, reading history and sign-in are removed at once. Where a church record still refers to you (a class you led, a request you approved), the account is closed immediately and the rest is removed within thirty days.
Your rights
To see, correct, or ask us to delete information about you, write to pd@godchasers.church. We answer within 30 days, subject to the records the church is legally required to keep.
